Core metadata for each lot

For each received lot of a reference standard, capture a consistent set of metadata to enable downstream traceability and auditability. Minimum recommended fields include:

  • Supplier name and catalog number
  • Lot number and internal inventory identifier
  • Certificate of Analysis (CoA) reference and file checksum or link
  • Date of receipt and receiving analyst initials
  • Physical form, packaging type, and storage location
  • Declared purity or concentration and associated uncertainty (as reported)
  • Expiry or retest date as provided by the supplier

Store the CoA with the lot record and, where possible, include a scanned copy or a stable URL to the supplier’s certificate for long-term reference.
